Getting Started - Setup AI Receptionist

AI Receptionist is the easiest way to stop losing leads when your team can not pick up the phone. In this guide you will activate it, route calls, and turn on missed call text back so every caller gets an instant response.

What You Need Before You Start

  • A LEADSORBIT account with a purchased phone number
  • Admin access to workflows and calendar settings
  • A short description of your business and the top 3 services you offer
  • Your business hours and after hours rules

Activate AI Receptionist

  1. From the left menu, open Solutions → AI Receptionist.
  2. Click Activate on your purchased phone number.
  3. Enter your business name and a short greeting script (LEADSORBIT will auto-draft one if you leave it blank).
  4. Click Save & Continue.

<strong>Tip:</strong> Keep your greeting under 12 seconds. Short, clear greetings convert better than long scripts.

Configure Call Routing and Business Hours

  1. In the same screen, open Call Routing.
  2. Choose where calls go first: Ring team first, AI answers first, or Hybrid (AI greets, then forwards).
  3. Set your business hours and the after-hours behavior (send to voicemail, trigger AI, or forward to an on-call number).
  4. Add up to three forwarding numbers in priority order.
  5. Click Save Routing.

Set Up Missed Call Text Back

Missed Call Text Back is the single highest leverage feature you will activate. Within 30 seconds of a missed call, LEADSORBIT will send the caller a polite SMS, giving you a chance to recover the lead.

  1. Open the Missed Call Text Back tab inside AI Receptionist.
  2. Toggle the feature ON.
  3. Customize your SMS reply. Include your business name, acknowledge the missed call, and invite a reply.
  4. Optional: attach a calendar booking link so callers can self-book.
  5. Click Save.

Your AI Receptionist is now catching every call, day or night. Any caller you miss will get an instant, branded text reply.

Test Your Setup

  1. Call your LEADSORBIT number from a personal phone and let it go to the AI.
  2. Hang up before answering and confirm you receive the missed call text.
  3. Reply to the text and verify the reply lands in your Conversations inbox.
  4. Review the AI Receptionist call log to confirm the transcript and lead capture.

If the text does not arrive, confirm your number is <strong>SMS enabled</strong> under Settings &rarr; Phone Numbers, and that you are not in an A2P registration pending state.
